Privacy Policy

Effective September 25, 2026.

Dunlap Family Dentistry operates this website at dunlapfamilydentistry.com. This policy explains what this website collects, why we collect it, and what we do and do not do with it. We have written it in plain language on purpose.

This is not our HIPAA notice

This policy covers the website. It is separate from our Notice of Privacy Practices, which covers your protected health information as a patient and is provided to you at the office. If you would like a copy of that notice, ask at the front desk or call (518) 762-4321.

Please do not send detailed medical information through this website. A web form is not a secure place for it. Tell us you have a concern and we will talk about the details in the office or on the phone.

Information we collect

Information you give us

When you submit the appointment request form, we collect your name, phone number, email address, whether you are a new or current patient, your reason for visiting, your preferred days or times, your preferred contact method, and anything else you choose to type into the form.

Information collected automatically

If you accept cookies using the banner on this site, we may collect basic analytics such as the pages you view, the approximate region you are in, your device and browser type, and the site that referred you. If you decline, analytics and advertising storage stay switched off.

Text messaging and mobile information

If you give us your mobile number and agree to text messages, Dunlap Family Dentistry may send you texts through Dental Intelligence, the patient communication platform our office uses. Messages may include:

  • Appointment reminders, confirmations, and replies about scheduling.
  • Two way conversations with our front desk when you text us back.
  • Reminders that you are due or overdue for a visit.
  • Links to patient forms, billing and payment requests, and occasional requests for feedback about your visit.
  • Consent to receive text messages is not a condition of receiving care or of any purchase.
  • Message frequency varies.
  • Message and data rates may apply.
  • Reply STOP at any time to stop receiving messages. Reply HELP for help.
  • You may also withdraw consent by calling the office at (518) 762-4321.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Dental Intelligence processes your mobile number only to deliver the messages our office asks it to send. It is not permitted to use your number for its own marketing, and we do not sell your number to anyone.

Text messages are not a secure channel. Please keep anything detailed about your health for a conversation in the office or on the phone.

How we use information

  • To respond to your appointment request and reach you about it.
  • To schedule, confirm, and remind you about appointments.
  • To answer questions you send us.
  • To understand how the website is used so we can improve it, if you accepted cookies.
  • To meet legal, regulatory, and recordkeeping obligations.

Cookies and your choice

We ask before we set any analytics or advertising cookies. Until you accept, those categories are switched off by default. Your choice is stored in a cookie named vgs_consent for 180 days. You can change your mind by clearing cookies for this site in your browser, which brings the banner back.

Cookies that are strictly necessary for the site to function and to stay secure are always on, because the site cannot work without them.

How we share information

We do not sell your information. We share it only in these situations:

  • With service providers who work for us under contract, such as our website host, our form and email provider, and our text messaging provider, and only with what they need to do that job.
  • When the law requires it, such as a valid legal request.
  • To protect the safety, rights, or property of our patients, our team, or the public.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

How long we keep it

We keep website form submissions for as long as we need them to respond to your request and to keep accurate business records, and then we dispose of them. Information that becomes part of your dental record is kept under the rules that govern dental records in New York, which is a longer period.

Security

We use reasonable administrative and technical measures to protect the information this website collects, including encrypted connections. No website can promise perfect security, and we will not claim otherwise.

Your choices

  • You can decline cookies using the banner, and nothing about the site stops working.
  • You can reply STOP to any text message to stop receiving them.
  • You can ask us what information we hold about you, or ask us to correct it, by calling the office.
  • You can ask us to stop contacting you at any time.

Children

This website is meant for adults. We do not knowingly collect information online from children under 13. A parent or guardian should submit requests on a child’s behalf. If you believe a child has sent us information through this site, call us and we will remove it.

Links to other sites

This site may link to other websites we do not control. Their privacy practices are their own, and we encourage you to read them.

Changes to this policy

If we change this policy we will update the effective date at the top. Material changes will be reflected here before they take effect.
